Expo Check-In Signage Copy Templates
Most check-in delays come from direction confusion, not scanner speed. Better copy can reduce desk interruptions and route attendees correctly on first pass.
Copy principles
- Use action-first verbs (“Scan here”, “Need help? Start here”)
- Limit each sign to one decision
- Put exception instructions before queue entry
- Mirror wording across floor signs and app notifications
Template set
1) Self-service lane
Headline: “Pre-Registered? Scan QR Here”
Subcopy: “Badge prints in under 30 seconds.”
2) Assisted desk
Headline: “No QR or Name Change? Start Here”
Subcopy: “We’ll verify and print your badge.”
3) Group pickup
Headline: “Team Pickups (5+) → Group Counter”
Subcopy: “Bring confirmation email and ID list.”
4) Exception desk
Headline: “Speaker / VIP / Press Credentials”
Subcopy: “Credential checks and upgrades handled here.”
Placement rules
- Primary decision signs at 8-10m approach distance
- Secondary detail signs at lane entry
- Exception desk sign visible before queue split point

KPI targets for signage performance
- Wrong-lane entry rate
- Help-desk interruption count per 15 minutes
- Check-in completion time (median)
- Peak-window throughput per lane
Implementation checklist
- Approve final copy at T-14 days
- Dry-run with volunteers at T-7 days
- Print large-format + backup tabletop signs
- Assign on-floor signage spotters for first 90 minutes
Next step: run a peak-hour copy A/B test (time-first vs help-first headline) and standardize the winner across all halls.
